This document explains how Cooee Pty Ltd (hereon referred to as 'Cooee') handles your personal information and other data. This Privacy Policy covers all products, services, and websites offered by Cooee, collectively known as the 'Cooee Service,' unless specified otherwise.
Cooee is dedicated to protecting the privacy of our customers and users of our systems. We consider all content you create on the Cooee Service to be your private property, fully owned by you. We do not sell your content or data to anyone. We only process and make your data available as necessary to provide the Cooee Service, except in specific situations as detailed below.

Information we collect
Cooee collects the following information and data:
Contact information: If you contact Cooee enquiring about or requesting Cooee services, Cooee may collect the following information:
Name
Email address
Phone number
Mailing address
Business name
Contract information: A contract must be signed to use the Cooee services. The Contract requires the following details to be provided:
Business name
Registered address
Name of the signatory
Position of the signatory
Billing information: If you make a payment to Cooee, we require that you provide your billing details, including name, address, email address and financial information corresponding to your selected method of payment.
User account information: You will need an account to access apps created on the Cooee Service. Typically, the organisation account administrator will create your user account, providing us with your name, email address, country, and time zone. These details are necessary to grant you access to the apps on the Cooee Service.
App data: We store the data you and your app users upload, import and otherwise submit to Cooee.
Other data you intentionally share: We may store or collect your personal information or data if you explicitly send it to us for specific purposes.
Usage data: Cooee collects usage data whenever you interact with our services. This includes the areas/pages within the Cooee system you visit, what you click on, and when you perform those actions. Additionally, our servers may keep short-term log files that record data each time a device accesses the Cooee Service. These log files contain data about the nature of each access, including originating IP addresses, internet service providers, files viewed on our site (e.g., HTML pages, graphics, etc.), operating system versions, and timestamps.
Device data: Cooee collects data from the device you use to access our services, such as your IP address, operating system version, device manufacturer and model, and browser type. We may also infer your geographic location based on your IP address.
Information from third parties: Cooee may collect your personal information or data from third parties if you have given them permission to share your information.

The collected information is used by Cooee to:

Information sharing
We understand that you have entrusted Cooee with safeguarding your information's privacy. Because that trust is extremely important to us, Cooee will only disclose or share your personal information or app data with a third party under three conditions:

We have anonymised or aggregated the information so that individual persons or entities
cannot reasonably be identified by it.
Where required by law, Cooee will obtain your express consent before disclosing or sharing any personal information.

Your data with our sub-processors: We use third-party service providers, known as subprocessors, to help us deliver the Cooee Service. These sub-processors have access to your data only to the extent necessary for them to perform their services for us. Aggregated or anonymised data with third parties: We may share aggregated or anonymised data with third parties to improve or promote the Cooee Service. We ensure that no individual can be reasonably identified or linked to any data we share for these purposes.
Your data if required or permitted by law: Cooee may disclose your information as required or permitted by law, or when we believe that disclosure is necessary to protect our rights, ensure your safety or the safety of others, and/or comply with a judicial proceeding, court order, subpoena, or other legal process served on us.
Aggregated or anonymised data with third parties to improve or promote the Cooee Service: We ensure that no person can be reasonably identified or linked to any data we may share with third parties for the improvement or promotion of Cooee services.
Your data if required or permitted by law: Cooee may disclose your information as required or permitted by law, or when Cooee believes that disclosure is necessary to protect our rights protect your safety or the safety of others, and/or to comply with a judicial proceeding, court order, subpoena, or other legal process served on us.
International transfer of personal information
Personal Information remains within Australia. Only anonymised and aggregated statistical and analytical data is transferred outside of Australia, except when required by third-party sub-processors like Microsoft Azure and Appenate, both of which adhere to protections like the Australian Privacy Principles.
Your data rights
You can exercise the following rights over the data you store or process on the Cooee Service:
Personal Information: You have the right to access and update the personal information we hold about you. To request access to your personal information, please contact us in writing at solutions@cooeedata.com. We prioritise keeping your information accurate and up to date. If you find that the information we have is outdated or incorrect, please notify us so we can update our records.
Organisation / Account Details: Please contact us in writing at solutions@cooeedata.com to update any organisation or user information.
Backup and download your data: Cooee provides the ability to download and export your data in multiple formats to create your own backups. Please contact the Cooee support team if you need assistance exporting data.
Cancel your service: To cancel your Cooee service and delete your data please contact us at solutions@cooeedata.com. Cooee will work with you to give you access to your data prior to deleting it from our databases.
Data Security
We will take reasonable steps to protect your data and personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. Please contact at solutions@cooeedata.com for more information on our data security measures.
